APA Citation Style and Other Citation Styles Explained

In academia and other professional fields, much of the work that goes on is strictly intellectual. In such areas, ideas matter, and copying another’s ideas without acknowledging the source can land the practitioner in trouble. This has happened to many unsuspecting academics.
Sometimes, failure to use citations constitutes academic fraud. The consequences of academic fraud are dire, including academic sanctions, penalties, or worse. Fortunately, it doesn’t have to be this way. Citation systems like the APA one or the Chicago style can help you easily bring your papers or professional writings up to standard.
Below, we explore the APA type of citation and other alternatives that you can use to make your work free of plagiarism.
What is APA Citation Style?
The APA citation style is one of three citation styles which are in wide use in universities and other professional communities. These three are:
- APA Style – A type of citations by the American Psychological Association
- Chicago Manual Style – Citation style from the Chicago University Press
- MLA Style – Citation guidelines by the Modern Language Association
APA Style contains guidelines for references to academic works, as well as stylistic idioms for the composition of academic work. The style began in the 1920s, and has since been adopted by leading academics in the social sciences.
Using APA Citations in the Body of a Text
Proper citation begins with in-text citations. These are references to source materials which you have chosen to include in the body of your paper or text.
In APA Style, you must reference the author’s last name and the source material’s publication year when making reference to a secondary source. Such a secondary source could be, for example, a book, guide, newspaper article, published report, or other publication.
References to earlier research, for example from academic journals, must use the past tense. For example, when referring to a work from 1960 by the psychologist Abraham Maslow, we would write:
Maslow (1960) found that “the highest stage of human psychological health occurs in the state of self-actualization” (p. 330).
As you can see, we also need to include a page number if directly quoting the work, otherwise, the author’s name and the work’s publication year suffice.
APA Reference List
At the end of an academic work, journal writing, or other such professional work, it is necessary to include a list of all works that have been referenced in the body.
The reference list must begin on a separate page from the body of your test. You should title it “References” so that it’s clear that the main arguments have ended and you are now listing references.
In the reference list, you should follow APA Style rules, including the following:
- Arrange author listings in alphabetical order
- Invert the authors’ names so that the last name is read first
- Titles for works cited should be given in full, whether books, journals, or other sources
- Specify the publisher and location where the work was published

Why APA Is Not Always the Right Citation Type
APA Style works well for the following disciplines:

Other, related, disciplines also use APA Style.
There are, however, disciplines where alternative citation styles are more appropriate. These include the Chicago Manual Style, and MLA Style. The exact citation style you need to use will depend on the field of study for which you are writing. If in doubt, you can check with the publisher or editor of the journal or other publication for which you are writing.

General APA Guidelines
Your essay should be typed and double-spaced on standard-sized paper (8.5" x 11"), with 1" margins on all sides. Include a page header (also known as the “ running head ”) at the top of every page. For a professional paper, this includes your paper title and the page number. For a student paper, this only includes the page number. To create a page header/running head , insert page numbers flush right. Then type "TITLE OF YOUR PAPER" in the header flush left using all capital letters. The running head is a shortened version of your paper's title and cannot exceed 50 characters including spacing and punctuation.
The 7th edition of the APA Publication Manual requires that the chosen font be accessible (i.e., legible) to all readers and that it be used consistently throughout the paper. It acknowledges that many font choices are legitimate, and it advises writers to check with their publishers, instructors, or institutions for guidance in cases of uncertainty.
While the APA Manual does not specify a single font or set of fonts for professional writing, it does recommend a few fonts that are widely available. These include sans serif fonts such as 11-point Calibri, 11-point Arial, and 10-point Lucida Sans Unicode as well as serif fonts such as 12-point Times New Roman, 11-point Georgia, 10-point Computer Modern.
Major Paper Sections
Your essay should include four major sections: the Title Page , Abstract , Main Body , and References .
Note: APA 7 provides slightly different directions for formatting the title pages of professional papers (e.g., those intended for scholarly publication) and student papers (e.g., those turned in for credit in a high school or college course).
The title page should contain the title of the paper, the author's name , and the institutional affiliation . A professional paper should also include the author note . A student paper should also include the course number and name , instructor name , and assignment due date .
Type your title in upper and lowercase letters centered in the upper half of the page. The title should be centered and written in boldface. APA recommends that your title be focused and succinct and that it should not contain abbreviations or words that serve no purpose. Your title may take up one or two lines. All text on the title page, and throughout your paper, should be double-spaced.
Beneath the title, type the author's name : first name, middle initial(s), and last name. Do not use titles (Dr.) or degrees (PhD).
Beneath the author's name, type the institutional affiliation , which should indicate the location where the author(s) conducted the research.
A professional paper should include the author note beneath the institutional affiliation, in the bottom half of the title page. This should be divided up into several paragraphs, with any paragraphs that are not relevant omitted. The first paragraph should include the author’s name, the symbol for the ORCID iD, and the URL for the ORCID iD. Any authors who do not have an ORCID iD should be omitted. The second paragraph should show any change in affiliation or any deaths of the authors. The third paragraph should include any disclosures or acknowledgements, such as study registration, open practices and data sharing, disclosure of related reports and conflicts of interest, and acknowledgement of financial support and other assistance. The fourth paragraph should include contact information for the corresponding author.
A student paper should not include an author note.
Note again that page headers/page numbers (described above for professional and student papers) also appear at the top of the title page. In other words, a professional paper's title page will include the title of the paper flush left in all capitals and the page number flush right, while a student paper will only contain the page number flush right.

Begin a new page. Your abstract page should already include the page header (described above). On the first line of the abstract page, center and bold the word “Abstract” (no italics, underlining, or quotation marks).
Beginning with the next line, write a concise summary of the key points of your research. (Do not indent.) Your abstract should contain at least your research topic, research questions, participants, methods, results, data analysis, and conclusions. You may also include possible implications of your research and future work you see connected with your findings. Your abstract should be a single paragraph, double-spaced. Your abstract should typically be no more than 250 words.
You may also want to list keywords from your paper in your abstract. To do this, indent as you would if you were starting a new paragraph, type Keywords: (italicized), and then list your keywords. Listing your keywords will help researchers find your work in databases.
Abstracts are common in scholarly journal articles and are not typically required for student papers unless advised by an instructor. If you are unsure whether or not your work requires an abstract, consult your instructor for further guidance.

How to Cite a Research Paper in Each Research Paper Format

MLA Research Paper Format
MLA (Modern Language Association) format format is commonly used in liberal arts and humanities. Let’s talk a bit about how to write a research paper in MLA format. This format has principles rather than a set of specific rules to be followed. Papers in MLA format provides a process of documentation.
MLA recommends using Times New Roman font in size 12. The entire paper should be double spaced with 1-inch margins on all sides. Tab once to indent paragraphs (½ inch). Your last name and a page number should be inserted on the upper right-hand corner of the first page.

This citation provides the author with an avenue to express accountability and credibility to related literature or references used in written material. If you’re citing a research article or paper in APA style, you’ll need to use a specific citation format that varies depending on the source. Assess whether your source is an article or report published in an academic journal or book, or whether it is an unpublished research paper, such as a print-only thesis or dissertation. Either way, your in-text citations will need to include information about the author (if available) and the date when your source was published or written.
Sample Citations

Writing an In-Text Citation

- For example, you may write, “Gardener (2008) notes, ‘There are several factors to consider about lobsters’ (p. 199).”

- For example, you may write, “‘There are several factors to consider about lobsters’ (Gardner, 2008, p. 199).” Or, “The paper claims, ‘The fallen angel trope is common in religious and non-religious texts’ (Meek & Hill, 2015, p.13-14).”
- For articles with 3-5 authors, write out the names of all the authors the first time you cite the source. For example: (Hammett, Wooster, Smith, & Charles, 1928). In subsequent citations, write only the first author’s name, followed by et al.: (Hammett et al., 1928).
- If there are 6 or more authors for the paper, include the last name of the first author listed and then write "et al." to indicate that there are more than 5 authors.
- For example, you may write, "'This is a quote' (Minaj et al., 1997, p. 45)."

- For example, you may write, “‘The risk of cervical cancer in women is rising’ (American Cancer Society, 2012, p. 2).”

- For example, you may write, “‘Shakespeare may have been a woman’ (“Radical English Literature,” 2004, p. 45).” Or, “The paper notes, ‘There is a boom in Virgin Mary imagery’ (“Art History in Italy,” 2011, p. 32).”

Creating a Reference List Citation for a Published Source
- Material on websites is also considered “published,” even if it’s not peer-reviewed or associated with a formal publishing company.
- While academic dissertations or theses that are print-only are considered unpublished, these types of documents are considered published if they’re included in an online database (such as ProQuest) or incorporated into an institutional repository.

- For example, you may write, “Gardner, L. M.” Or, “Meek, P. Q., Kendrick, L. H., & Hill, R. W.”
- If there is no author, you can list the name of the organization that published the research paper. For example, you may write, “American Cancer Society” or “The Reading Room.”
- Formally published documents that don’t list an author or that have a corporate author are typically reports or white papers .

- For example, you may write, “Gardner, L. M. (2008).” Or, “American Cancer Society. (2015).”

- For example, you may write, “Gardner, L. M. (2008). Crustaceans: Research and data.” Or, “American Cancer Society. (2015). Cervical cancer rates in women ages 20-45.”

- For example, for a journal article, you may write, “Gardner, L. M. (2008). Crustaceans: Research and data. Modern Journal of Malacostracan Research, 25, 150-305.”
- For a book chapter, you could write: “Wooster, B. W. (1937). A comparative study of modern Dutch cow creamers. In T. E. Travers (Ed.), A Detailed History of Tea Serviceware (pp. 127-155). London: Wimble Press."

- For example, you may write, “Kotb, M. A., Kamal, A. M., Aldossary, N. M., & Bedewi, M. A. (2019). Effect of vitamin D replacement on depression in multiple sclerosis patients. - If you’re citing a paper or article that was published online but did not come from an academic journal or database, provide information about the author (if known), the date of publication (if available), and the website where you found the article. Citing Unpublished Sources in Your Reference List

- Print-only dissertations or theses.
- Articles or book chapters that are in press or have been recently prepared or submitted for publication.
- Papers that have been rejected for publication or were never intended for publication (such as student research papers or unpublished conference papers).

- If the paper is currently being prepared for publication, include the author’s name, the year when the current draft was completed, and the title of the article in italics, followed by “Manuscript in preparation.” For example: Wooster, B. W. (1932). What the well-dressed man is wearing. Manuscript in preparation.
- If the paper has been submitted for publication, format the citation the same way as if it were in preparation, but instead follow the title with “Manuscript submitted for publication.” For example: Wooster, B. W. (1932). What the well-dressed man is wearing. Manuscript submitted for publication.
- If the paper has been accepted for publication but is not yet published, replace the date with “in press.” Do not italicize the paper title, but do include the title of the periodical or book in which it will be published and italicize that. For example: Wooster, B. W. (in press). What the well-dressed man is wearing. Milady’s Boudoir.

- If the paper was written for a conference but never published, your citation should look like this: Riker, W. T. (2019, March). Traditional methods for the preparation of spiny lobe-fish. Paper presented at the 325th Annual Intergalactic Culinary Conference, San Francisco, CA.
- For an unpublished paper written by a student for a class, include details about the institution where the paper was written. For example: Crusher, B. H. (2019). A typology of Cardassian skin diseases. Unpublished manuscript, Department of External Medicine, Starfleet Academy, San Francisco, CA.

- For example, you may write, “Pendlebottom, R. H. (2011). Iconography in Italian Frescos (Unpublished doctoral dissertation). New York University, New York, United States.”

To cite a research paper in-text in APA, name the author in the text to introduce the quote and put the publication date for the text in parentheses. At the end of your quote, put the page number in parentheses. If you don’t mention the author in your prose, include them in the citation. Start the citation, which should come at the end of the quote, by listing the author’s last name, the year of publication, and the page number. References are ordered alphabetically by the first author’s last name. If the author is unknown, order the reference entry by the first meaningful word of the title (ignoring articles: “the”, “a”, or “an”).

In an APA Style paper, every page has a page header. For student papers, the page header usually consists of just a page number in the page’s top-right corner. For professional papers intended for publication, it also includes a running head .
A running head is simply the paper’s title in all capital letters. It is left-aligned and can be up to 50 characters in length. Longer titles are abbreviated .

APA headings have five possible levels. Heading level 1 is used for main sections such as “ Methods ” or “ Results ”. Heading levels 2 to 5 are used for subheadings. Each heading level is formatted differently.

The title page is the first page of an APA Style paper. There are different guidelines for student and professional papers.
Both versions include the paper title and author’s name and affiliation. The student version includes the course number and name, instructor name, and due date of the assignment. The professional version includes an author note and running head .

The abstract is a 150–250 word summary of your paper. An abstract is usually required in professional papers, but it’s rare to include one in student papers (except for longer texts like theses and dissertations).
The abstract is placed on a separate page after the title page . At the top of the page, write the section label “Abstract” (bold and centered). The contents of the abstract appear directly under the label. Unlike regular paragraphs, the first line is not indented. Abstracts are usually written as a single paragraph without headings or blank lines.
Directly below the abstract, you may list three to five relevant keywords . On a new line, write the label “Keywords:” (italicized and indented), followed by the keywords in lowercase letters, separated by commas.

APA Style does not provide guidelines for formatting the table of contents . It’s also not a required paper element in either professional or student papers. If your instructor wants you to include a table of contents, it’s best to follow the general guidelines.
Place the table of contents on a separate page between the abstract and introduction. Write the section label “Contents” at the top (bold and centered), press “Enter” once, and list the important headings with corresponding page numbers.
The APA reference page is placed after the main body of your paper but before any appendices . Here you list all sources that you’ve cited in your paper (through APA in-text citations ). APA provides guidelines for formatting the references as well as the page itself.

Formatting the reference page
Write the section label “References” at the top of a new page (bold and centered). Place the reference entries directly under the label in alphabetical order.
Finally, apply a hanging indent , meaning the first line of each reference is left-aligned, and all subsequent lines are indented 0.5 inches.

Tables and figures are presented in a similar format. They’re preceded by a number and title and followed by explanatory notes (if necessary).
Use bold styling for the word “Table” or “Figure” and the number, and place the title on a separate line directly below it (in italics and title case). Try to keep tables clean; don’t use any vertical lines, use as few horizontal lines as possible, and keep row and column labels concise.
Keep the design of figures as simple as possible. Include labels and a legend if needed, and only use color when necessary (not to make it look more appealing).

- If there is a name of a person listed as an author, list them as the author for your in-text and reference list citations. When there is not author listed use the organization name as a corporate author.
- If the organization that published the report issued a number be sure to include that in parentheses right after the title.
- Technical and research reports might not be peer-reviewed. If you require peer-reviewed sources use reports with caution.

- Author or authors. The surname is followed by first initials.
- Year of publication of the article (in round brackets).
- Article title.
- Journal title (in italics ).

Summarizing or Paraphrasing
Paraphrasing or summarizing the main findings or takeaways from a research article is the preferred method of citing sources in an APA paper. Always include the last name of the author(s) and the year of the publication, so your reader can find the full citation in the reference list.
According to Shavers (2007), limitations of studying socioeconomic status in research on health disparities include difficulties in collecting data on socioeconomic status and the complications of classifying women, children, and employment status.
Direct Quotes
If you're quoting the exact words of someone else, introduce the quote with an in-text citation in parentheses. Any sentence punctuation goes after the closing parenthesis.
- According to Brown (2019), "Direct quote" (p. 1021).
- Brown (2019) found that "Direct quote" (p. 1021).
- [Some other introduction] "Direct quote" (Brown, 2019, p. 1021).
If you're directly quoting more than 40 words, use a blockquote . Block quotes don't need quotation marks. Instead, indent the text 1/2" as a visual cue that you are citing. The in-text citation in parentheses goes after the punctuation of the quote.
Shavers (2007) study found the following:
While research studies have established that socioeconomic status influences disease incidence, severity and access to healthcare, there has been relatively less study of the specific manner in which low SES influences receipt of quality care and consequent morbidity and mortality among patients with similar disease characteristics, particularly among those who have gained access to the healthcare system. (p. 1021)
Toro Tip: Use direct quotes sparingly! Focus on summarizing the findings from multiple research studies. In the sciences and social sciences, only use the exact phrasing or argument of an individual when necessary.
In-text citations differ depending on the number of authors listed for a work, and if there is a group author .

The APA format is the official style of American Psychological Association (APA) and is commonly used to cite sources in psychology, education and social sciences. APA research paper format is widely used in the research publishing industry.
Students and researchers usually get confused with various research paper writing formats and are unclear about the requirements from the research publication journals. Therefore, the best way to deal with beginning to write a research paper is to first know the journal’s requirement and then follow the guidelines accordingly.
Though the reference section may change over the course of time, the information related to the other sections in APA research paper format is similar and could be referred to, for writing an exemplary research paper.
Guidelines for APA Style Paper (7th edition)
An APA style research format is different as compared to a term paper, a creative writing paper, a composition-style paper, or a thought paper. Throughout the paper you need to apply these guidelines while writing the paper –
Page Layout:
Type the content and keep double-space on standard-sized paper (8.5” x 11”), with 1” margins on all sides.
You should indent the first line of every paragraph 0.5 inches
Include a page number on every page.
You could use an accessible font like Times New Roman 12pt., Arial 11pt., or Georgia 11pt.
APA Research Paper Sections
The APA research paper format is based on seven main components: title page, abstract, introduction, methods, results, discussion, and references. The sections in APA-style paper are as follows:
1. Title Page
As per the APA research paper format, the title should be between 10-12 words and should reflect the essence of the paper. After writing the title, write your name followed by name of the college. Furthermore, create a page header using the “View Header” function in MS Word and on the title page include a running head — a short title that appears at the top of pages of published articles (flush left) and page number on the same line (flush right). The running head should not exceed 50 characters, including punctuation and spacing. Moreover, you could use the toolbox to insert a page number, so that it automatically numbers each page.

2. Abstract
Abstract should contain no more than 120 words , and should be one paragraph written in block format with double spacing. Additionally, state the topic in a sentence or two. Also, provide overview of methods, results, and discussion.

3. Introduction
An introduction of APA research paper format is the most difficult section to write. A good introduction critically evaluates the empirical knowledge in the relevant area(s) in a way that defines the knowledge gap and expresses your aim for your study and why you conducted it. However, the challenge here is to keep the reader’s interest in reading your paper.
A good introduction keeps readers engaged with your paper. For writing an interesting introduction, researchers should introduce logical flow of ideas which will eventually lead to the research hypothesis . Furthermore, while incorporating references into your introduction, do not describe every single study in complete detail. Summarize the key findings from the article and do not quote from the articles, instead paraphrase the content .
The method section in APA research paper format is straightforward. However, the protocol and requirements should be mentioned precisely. The goal of this section is to describe your study and experiments in detail, so that there is no issue in reproducibility of results and other researchers could duplicate your methods effectively.
This section includes Materials and/or Apparatus and Experiments/Procedures/Protocols. Furthermore, keep the procedures brief and accurate, and make sure to read through so as to not repeat the steps or avoid redundancy.
In this section, you could describe how you analyzed the data and explain your findings. If your data analyses are complex, then break the section into subsections, ideally a subsection for each hypothesis and elaborate the subsections by using statistical analysis and including tables or figures to represent results visually. Most importantly, do not share interpretation of the results here. You can interpret and explain the results in the discussion section.
6. Discussion
Results are interpreted and understood in this section. Discussion section helps understand the research hypothesis better and places the results in the broader context of the literature in the area. This section is the reversal of introduction section, wherein you begin with the specifics and explain the general understanding of the topics.
In discussion, you start with a brief of your main findings, followed by explaining if your research findings support your hypothesis. Furthermore, you could explain how your findings enhance or support the existing literature on the topic. Connect your results with some of the literature mentioned in the introduction to bring your story back to full circle. You could also mention if there are any interesting or surprising findings in your results. Discuss other theories which could help you justify your surprising results.
Explain the limitation of your study and mention all the additional questions that were generated from your study. You could also mention what further research should be conducted on the topic and what are the knowledge gaps in the current body of research. Finally, mention how your results could relate to the larger issues of human existence and highlight “the big picture” for your readers.
7. References
Provide an alphabetical listing of the references. Do not keep extra spaces between references and double-space all the references. The second line of each reference should be intended. You could refer to the examples (mentioned below) to know how to format references correctly.
I. Journal Article:
Only first letter of the first word of the article title is capitalized; the journal name and volume are italicized. If the journal name had multiple words, each of the major words are capitalized.

II. Book Chapter:
Only the first letter of the first word of both the chapter title and book title are capitalized.
Example: Stephan, W. G. (1985). Intergroup relations. In G. Lindzey & E. Aronson (Eds.), The handbook of social psychology (3rd ed., Vol. 2, pp. 599-658). New York: Random House.
Example: Gray, P. (2010). Psychology (6th ed.). New York: Worth
There are various formats for tables, depending upon the information you wish to include. So, be thorough and provide a table number and title (the latter should be italicized). Tables can be single or double-spaced.
Be sure to mention x- and y-axes clearly. Underneath the figure provide a label and brief caption. The figure caption typically includes variables and units of measurements. Also, include error bars in your bar graphs, and note what the bars represent in the figure caption – Error bars represent one standard error above and below the mean.
VI. In-Text Citation:
- Mention the authors’ names and publication date while citing sources in your paper.
- When including the citation as part of the sentence, use AND: “According to Jones and Smith (2003), the…”
- When the citation is written in parentheses, use &: “Studies have shown that priming can affect actual motor behavior (Jones & Smith, 2003; Kiley, Bailey, & Hammer, 1999). The studies in parentheses should appear alphabetically by first author’s last name, and separate it with semicolons.
- You should avoid quoting directly, but in case you do – along with the name and date, include the page number.
- For sources with three or more authors, once you have listed all the authors’ names, you may write “et al.” on subsequent mentions: “Klein et al. (1999) found that…”.
- Meanwhile, when source has six or more authors, the first author’s last name and “et al.” are used every time the source is cited.
VII. Secondary Source:
It is a term used to describe material that is cited in another source. Avoid using secondary sources in your papers. Try to find the primary source and read it before citing in your work. However, if you must mention a secondary source, refer to the APA style paper example below:

7 Tips for Writing an Error-free APA Style Research Paper

- Although there are exceptions, minimize using first person while writing.
- Avoid including personal statements or anecdotes.
- Although there are exceptions, use past tense while writing.
- Do not use contractions. (e.g., “it does not follow” rather than “it doesn’t follow”)
- Avoid biased language – Be updated with appropriate terminologies, especially if you are writing a paper that includes gender, race, ethnicity, sexual orientation, etc.
- Be certain to cite your sources.
- Try to paraphrase as much as possible, and do not directly quote from source articles.
