How to Create a Graph in Excel
Microsoft Excel is a spreadsheet program within the line of the Microsoft Office products. Excel allows you to organize data in a variety of ways to create reports and keep records. The program also gives you the ability to convert data into graphs.
Determine the Type of Graph Needed
Graphs are used to summarize data over a period of time. For example, how many days your employees took off over the past six months. To summarize your data into a visually appealing graph, you need to select the data needed for the graph. Then choose from a line graph, column graph, pie graph or a bar graph.
- Line graphs use data plotted along a line. The nice thing about a line graph is you can plot more than one type of data along the same time period.
- A column graph organizes the data into columns that show a certain parameter. For instance, you could break down the example into days used in March, days used in April and so on.
- A pie graph allows users to see segments of the data broken up into pieces.
- A bar graph is a lot like a column graph; however, it flips the data. For example, instead of the months listed on the bottom of the column graph, they are now listed on the side. The data is presented horizontally instead of vertically.
Enter Your Data into Excel
The first step in creating a graph in Excel is to enter all of your data into appropriately named cells. Make sure all data is entered properly; for example, first name in a column labeled First Name. It also needs to be formatted. For example, if you’re measuring days, make sure you select the column labeled Days and you select “General” for number.
Selecting the Proper Data for the Graph
Select the data needed for the graph by starting in cell A1. Use your mouse to select all data you want to include on your graph. Once the data is highlighted, click Insert on the toolbar and select the type of graph you’d like to use. Graphs are listed under the Chart menu as Excel groups them all into charts. Once you select the type of graph, like column graph, more options will appear, such as 2D, 3D, cylinder and cone. Your graph will now appear summarizing the data you selected.
Reading and Reviewing Your Graph
Graphs are a handy tool to use when you have a lot of data to present. Not only can you now compare trends and data, but you can also make an informed decision quickly, without going through hundreds of data entries on your workbook.
Format Your Graph
Once your data appears in the graph, you can now customize it. Right-click on your graph and select Format Chart Area. Here you’ll be able to change the colors and shading to present your graph the way you’d like. You can also click on Switch Row/Column within the toolbar if you prefer your data to be switched. You can use your graph during presentations with groups, print your graph into reports simply use it for your own quick-glance for large chunks of data.

You'll need to plot around 30 points on the provided vertical coordinate grid to figure out what this mystery image is. The printable worksheet includes an answer key so you can double check your work.
Extend the Fun
Lightly label each line along the x-axis and y-axis with a pencil so the numbers don't interfere with your finished image.
- Use the same colored pencil to draw lines one and two. Choose a different color to use for the other lines.
- Color in the entire picture with markers after you've finished all the lines.
- Make an extra copy of the blank coordinate grid and see if you can create a hidden picture using ordered pairs.
Complex Coordinate Graphing Image Worksheet
This horizontal grid features about 50 ordered pairs and nine lines that create a beautiful image when complete. The second page of the document contains the answer key, but don't peek until you've tried plotting all the points!
Plot the points along the x-axis and y-axis with a pencil so you can erase any mistakes.

How to Use a Coordinate Graph
Coordinate graphing pictures use a standard coordinate plane, or two-dimensional number line.
How to Label a Coordinate Plane
If you have a blank coordinate plane, you'll want to start by labeling the x-axis, the y-axis, and each grid line. Each axis is already labeled on these worksheets.
- The vertical center line, or up and down line, is called the y-axis.
- The horizontal center line, or side-to-side line, is called the x-axis.
- These two perpendicular lines intersect at 0, which is called the origin.
- All x coordinates to the right of the y-axis line are positive. Each vertical line is numbered, starting from 1 as you move from the origin to the right edge of the graph.
- All x coordinates to the left of the y-axis line are negative. Each vertical line is numbered, starting from -1 as you move from the origin to the left edge of the graph.
- All y coordinates above the x-axis are positive. Each horizontal line is numbered, starting from 1 as you move from the origin to the top edge of the graph.
- All y coordinates below the x-axis line are negative. Each horizontal line is numbered, starting from -1 as you move from the x-axis to the bottom edge of the graph.
How to Find a Point on a Coordinate Graph
Any point on a coordinate graph is written as an ordered pair like this (x,y).
- Always start searching for a point by looking at (0,0), or the origin.
- Find the number in the "x" place by taking that many steps to the left (negative number) or the right (positive number) on the x-axis.
- Find the number in the "y" place by taking that many steps down (negative number) or up (positive number) on the y-axis.
- Make a dot, or point, where these two lines intersect.
- To complete a line on a coordinate graphing mystery picture, connect all the points in that line in the given order.

Let us learn to represent the information on a picture graph
1. The first step is to collect data. Example : Collect this data from your class. Suggest your friends 5 colors and ask them their favorite color. Lets consider 5 colors. Red, Blue, Green, Yellow and Orange.
2. Make a small table to record this information. With the given information, you can easily make a pictograph. Consider the key as 2. Select a simple picture for the pictograph.
3. 8 students like Red color. According to the key 2 students can be represented using a picture. How many 2’s are in 8. Its 8/2 = 4. Use 4 pictures. 7 students like Blue color. Now divide 7 by 2. 7/2 = 3.5 or 3 1/2. So we will use 3 full pictures which represent 6 students and 1 half picture representing 1 student. Similarly you can represent pictures for Green, Yellow, and Orange.

Observations
- The most preferred color- Yellow
- The least preferred color- Green
- The total number of students surveyed= 8+ 7+ 4+ 12+ 10 = 41
